| WhatsApp normal | Uso personal. | Gratis |

Three different things are called “WhatsApp for business” and they get mixed up constantly. This guide clarifies which one you need, what you will be asked for to get the API, and the five pitfalls that cost people days —or a phone number— when they do not know about them in advance.
First: do you actually need the API?
Worth saying even though it does not suit us: plenty of people who ask for the API do not need it. There are three different products.
| Product | Who it is for | Cost |
| Regular WhatsApp | Personal use. | Free |
| WhatsApp Business (the app) | A small business, one or two people replying from a phone. It has a catalogue, quick replies and labels. | Free |
| WhatsApp Business Platform (the API) | Several agents at once, automations, connection to your CRM or store, bulk sending. | Free access · pay per message |
If you handle everything yourself from a phone and you manage fine, the free app is enough and you save the per-message cost. The API starts to pay off when one of three things appears: more than one person answering the same number, a need to automate, or wanting to connect WhatsApp to another system.
What you will be asked for
Gather this before you start and the process becomes trivial. Without it, you will get stuck halfway.
- A Meta Business account (the old Business Manager). If you already have a business Facebook or Instagram, you probably have one.
- Legal documentation for the business for verification: a tax identifier —whatever applies in your country— and a document evidencing the company, such as incorporation papers. If you are a sole trader, your tax registration.
- Proof of address in the business's name: a utility bill or a recent bank statement usually works.
- A phone number that can receive an SMS or a call, with one important condition explained below.
- A display name that resembles the real name of the business.
⚠︎ The mistake that costs most
The number you connect to the API cannot be active in the WhatsApp app or the WhatsApp Business app. You can migrate one you already use, but doing so loses the conversation history and you can no longer use it from the phone app: from then on it is served only from the platform.
That is why almost everyone should start with a new number. It is reversible with effort, but the history does not come back.
The two routes
Since Meta shut down the self-hosted API, only the Cloud API remains, hosted by Meta. From there you have two routes.
Direct with Meta
You create the app in the developer console and code against the API yourself. No middleman to pay, but you need someone who can code: the API sends and receives JSON, it comes with no inbox, no dashboard and no flow builder. You build all of that.
It makes sense if you have a technical team and a very specific use case, such as sending verification codes.
Through a platform
A platform connected to Meta gives you a guided sign-up plus the interface: shared inbox, automations, reports. Sign-up runs through a wizard that opens a Meta window where you authorise everything in a few minutes.
This is the route most people take. The important question here is not which is easier, but how much extra each one charges you, and we come back to that at the end.
The process, step by step
- Create or locate your Meta Business account and check that you are an admin, not just an editor.
- Start business verification in the account settings. This is the slowest step: it usually takes from a few days to two weeks. Begin here, not at the end.
- Register the number and verify it with the code that arrives by SMS or call.
- Submit the display name for approval. It must clearly relate to the business; generic ones like “Sales” or “Customer Service” get rejected.
- Connect the platform or your own app and run a test send.
- Create your first templates so you can write outside the 24-hour window. If they get rejected, we have a guide for that.
The five most common pitfalls
- Starting with the number and leaving verification until last. Verification is the slow part. Kick it off on day one.
- Using your long-standing number without thinking. You lose the history and the phone access. Read it twice before confirming.
- A generic display name. It has to resemble the name you trade under, not a function.
- Documentation that does not match. The legal name on the documents must match the one on the Meta account. A missing accent or a dropped “Ltd” is enough for a rejection.
- Waiting for the green tick. The green badge is a different thing, it is optional, and Meta grants it based on brand notability. You do not need it to use the API and almost no small business gets it.
Messaging limits: you do not start with everything
At first you cannot message whoever you like. Meta assigns a limit of new recipients per day and raises it in tiers —1,000, 10,000, 100,000 and unlimited— based on the volume you handle and, above all, on your number's quality rating.
That rating drops when people block or report you. Which is why it matters so much to write only to people who gave you permission: a burnt number is not fixed by sending more messages.
What it really costs
Getting the API is free. Meta does not charge to create the account, verify the business or register a number. What you pay for is messages, and since October 1, 2026 practically everything leaving your number is charged, including replies from your agents and your bots.
You can estimate your case with our cost calculator, which uses Meta's official rates country by country.
The question almost nobody asks
Many providers buy traffic from Meta and resell it to you with a margin on top. That margin does not usually appear on their website: it appears when you compare the invoice with the official rate card.
At SmartChat we add no markup on Meta's rates, and usage is billed directly in your own Business Manager, with your own payment method. The account, the number and the history are yours from day one: if you ever leave, you are not taking a copy — it was already yours.
